How to Set Up Automatic Backups: A Beginner's Guide

The fastest reliable setup is this: switch on your phone's built-in cloud backup, point your computer at an external drive, and aim for the 3-2-1 rule — three copies of your data, on two different types of storage, with one copy off-site. Do that once and your photos, messages, and documents defend themselves from then on, whether the threat is a cracked screen, a stolen bag, or ransomware that scrambles your files overnight.

The 3-2-1 rule, and why one backup isn't enough#

Data-recovery professionals lean on a single idea called 3-2-1: keep 3 copies of anything you care about (the original plus two backups), on 2 different kinds of media (say, an internal drive and an external SSD), with 1 copy kept off-site (the cloud counts as off-site).

The reason a single backup lets people down is boringly physical. An external drive that lives on the same desk as your laptop shares the same fire, the same burglar, and the same power surge as the original. A cloud-only plan, meanwhile, leaves you stuck if the account gets locked or the service has an outage the day you need a big restore. Two copies in two places removes almost every single point of failure at once. You don't need enterprise gear to hit 3-2-1 — a phone backing up to iCloud or Google, plus a laptop backing up to an external drive, already gets most households there.

Turn on cloud backup for your phone first#

Phones hold the data people grieve over most — years of photos, message threads, two-factor app settings — and they're also the most likely device to get lost or dropped in a toilet. Start here.

iPhone (iCloud)#

Go to Settings > [your name] > iCloud > iCloud Backup and turn on Back Up This iPhone. Leave Back Up Over Cellular off unless you have unlimited data. From then on your iPhone backs itself up automatically whenever it's locked, charging, and on Wi-Fi — typically overnight.

The free iCloud tier is only 5 GB, which a single modern phone fills within weeks. iCloud+ paid tiers (US pricing, and it varies by country) run roughly 50 GB for $0.99/month, 200 GB for $2.99, and 2 TB for $9.99. One thing most people get wrong: iCloud Backup and iCloud Photos are separate switches. If Settings > [your name] > iCloud > Photos is on, your library is stored in iCloud directly and is not duplicated inside the device backup — so check both are enabled, or you may think your photos are covered when they aren't.

Android (Google)#

Open Settings > Google > Backup and turn on Back up by Google One to save app data, call history, contacts, and settings. Photos are handled separately in the Google Photos app: tap your profile picture > Photos settings > Backup and switch it on. Choose Storage saver (lightly compressed, plenty for everyday snaps) or Original quality (full resolution, uses more space). Note that Google Photos ended its free unlimited "High quality" tier on June 1, 2021, so everything now counts against your quota.

Google's free tier is 15 GB shared across Gmail, Drive, and Photos. Google One upgrades are roughly 100 GB for $1.99/month, 200 GB for $2.99, and 2 TB for $9.99. Samsung phones also offer Samsung Cloud, but it caps around 15 GB and won't back up photos the same way, so Google Photos is the more universal choice.

Back up your computer to a local drive#

This is the second leg of 3-2-1, and it's where a physical drive earns its keep: restores are fast, and you're not dependent on your internet connection.

Mac (Time Machine)#

Plug in an external drive, then go to System Settings > General > Time Machine > Add Backup Disk. Tick Encrypt Backups so a thief who grabs the drive can't read your files without your password. Time Machine keeps hourly snapshots for the past 24 hours, daily snapshots for the past month, and weekly ones until the disk fills, then deletes the oldest. That versioning is the quiet magic — you can pull back a document exactly as it was last Tuesday, not just its latest state.

Windows (File History + OneDrive)#

Open Control Panel > System and Security > File History, select your external drive, and turn it on. By default it copies your Documents, Pictures, Desktop, and other libraries every hour and keeps older versions you can roll back to. Separately, Settings > Accounts > Windows backup can push your Desktop, Documents, and Pictures folders into OneDrive (5 GB free; 1 TB with a Microsoft 365 subscription). Using both gives you a local copy and an off-site one.

Which drive to buy#

For pure backup, capacity beats speed — a 4 TB external HDD costs far less per gigabyte than an SSD and is fine for overnight jobs. If you want faster restores or you'll carry the drive around, an external SSD over USB-C (USB 3.2) is quicker and more shock-resistant. Either way, buy a drive with at least twice the space of the data you're protecting, so version history has room to grow.

The mistake almost everyone makes: sync is not backup#

This trips up smart people constantly. Dropbox, iCloud Drive, OneDrive, and Google Drive are sync services, not backups. If you delete a file — or ransomware encrypts it — that change instantly propagates to every device and to the cloud copy. Sync mirrors your mistakes as faithfully as your good work.

Most sync services soften this with a trash or version history (Dropbox and OneDrive keep deleted files for about 30 days), which can save you, but it isn't a substitute for a real backup with deep version history. Two more traps in the same family: a RAID array isn't a backup either — it mirrors deletions and corruption in real time — and a backup drive left permanently plugged in is itself exposed to ransomware and surges. Rotating between two drives, or leaning on an off-site cloud copy, closes that gap.

Verify it, then genuinely trust it#

A backup you never check is a hope, not a plan. Spend five minutes every month or two:

  • iPhone: Settings > [your name] > iCloud > iCloud Backup — confirm "Last Successful Backup" is within a day.
  • Android: open the Google One app > Storage > Device backup, and check the date.
  • Mac: click the Time Machine icon in the menu bar to see the latest backup time.
  • Windows: File History shows "Files last copied on [date]".

Then, roughly once a year, actually restore a single file — open the backup and pull one photo or document back onto your device. It takes two minutes and it's the only way to prove the backup is readable before the day you desperately need it to be.

FAQ#

How much cloud storage do I actually need?#

Check your phone's current usage first (iPhone: Settings > General > iPhone Storage; Android: Settings > Storage). Most single-phone users are comfortable on a 200 GB plan; a household sharing photos and a couple of laptops usually wants 2 TB. Both Apple and Google let you share the 2 TB tier with family, which is often cheaper than several small plans.

Is a free cloud backup enough on its own?#

For a while, maybe — but 5 GB (iCloud) or 15 GB (Google) fills quickly once video enters the mix, and a full quota means backups silently stop. A free plan is a fine start, yet the day you get the "storage full" notice is the day to either upgrade for a dollar or two a month or add a local drive.

How often should backups run?#

Leave them automatic. Phones back up nightly while charging on Wi-Fi, and Time Machine or File History run roughly hourly in the background. The only thing you need to do manually is plug in a rotated drive occasionally and glance at the "last backup" date.

Can I use two cloud services instead of a local drive?#

Yes — pairing, say, Google Photos with a separate Backblaze or iDrive account still satisfies the "off-site" and "two places" parts of 3-2-1. A local drive simply adds much faster restores and works with no internet, which is why most people keep at least one physical copy in the mix.
